Hotel Room Block Guidelines for AIIM Expo Exhibitors

1. You will be allowed to reserve a maximum of 50 rooms at any one hotel.

2. Room blocks will be confirmed based on your exhibit space priority number and only those who have contracted for space can reserve within our blocks.

3. A credit card guarantee or 1st night’s deposit (room and tax) is required per reservation, or the reservation cannot be taken.

4. Final room block numbers must be in no later than January 15, 2010, or rooms will be released. (Name changes WILL be permitted at any time. Date changes are subject to availability)

5. Rooms can be cancelled up until 30 days before the event. After 30 days, we will assess to you only those charges that the hotel assesses Show Management.

Why Should I Book My Hotel Through the AIIM Expo + Conference?

As the organizer of the AIIM  Expo + Conference, we want to explain the importance of booking your hotel room within the block the AIIM Expo + Conference has contracted. For the most part, our room rates are the lowest offered.

When selecting future dates for the AIIM Expo + Conference, we measure total room nights, not the number of attendees. The rationale behind this is that someone using a hotel room is spending more local dollars than someone who is local and can commute. Those total room nights are tracked through the Official Room Block so we know where you are staying.  Your rooms are important to the event getting the best venues and rates in the cities that we might want to use for future events.

If you need to add rooms at the last minute, we will help you up to -- and during -- the event. We have contracted with Par Avion who is here to help you with your hotel, car rental and airline accommodations. You can help us by booking within the Official Room Block that is reserved on your behalf. It's an easy-to-use service that benefits you and the event.
